We respect the privacy of everyone who visits, registers with or subscribes to our website, events and other services. We are the data controller for personal data collected through this website and our events. We are registered with the UK Information Commissioner's Office, registration number ZB801584. The service providers we use act as processors, on our instructions.
For any privacy question or request, email hello@affilifest.com or write to Affilifest Limited, 409-411 Croydon Road, Beckenham, Kent BR3 3PP.
What we collect and why
We collect personal data from you directly, or from a colleague or employer who registers you. We do not buy contact lists or use outside providers to supply or enrich your details.
The data we hold can include your name, job title, company, address, email address and phone number, your registration and ticket details, and confirmation of payment. Card payments are handled by our payment provider, and we do not keep card details. We also collect information about how you take part in our events and use our website and emails, such as sessions attended, badge scans, meeting bookings, pages viewed and whether you open or click our emails. If you take part in a survey or contact us, we keep your responses and messages.
This is what we use it for and why.

Who we share your data with
Sponsors and exhibitors. When you register, you confirm that you understand that if you choose to allow your badge to be scanned by a sponsor, exhibitor or speaker, you are giving them your personal data and agree they may use it to contact you about their products or services. We share your details with a sponsor or exhibitor only if you allow your badge to be scanned at their stand or book a meeting with them. We share your name, job title, company and work email, so they can follow up with you about their products and services. Each sponsor then controls the data it receives and must include an unsubscribe option in its messages. We do not share your details with sponsors for marketing in any other way. You can ask us to stop at any time by emailing hello@affilifest.com.
Dinners, roundtables and matchmaking. If a sponsor runs a dinner, roundtable or matchmaking programme, they may see attendees' job titles and companies so they can choose who to invite or meet. We do not share names or contact details at that stage. If you accept an invitation, we share your name, job title and company with that sponsor as part of the confirmed list. We do not share your email address.
Service providers. We use these types of provider to run our events and website. They act on our instructions as processors.
-
Registration, tickets and meeting scheduling: our own platform, hosted by Fly.io on servers in the UK, with data stored in Supabase
-
Payments: Stripe
-
Website and event site: ASP Events
-
CRM, forms and email: HubSpot, Typeform, Google Workspace and Slack
-
Analytics and advertising: Google Analytics, Meta and LinkedIn
Some of these also use data for their own purposes as separate controllers, and their privacy policies apply to that.
Legal and protective reasons. We may disclose personal data where the law requires it, and we will try to limit what we disclose. We may also disclose it to protect the rights and interests of other users, Affilifest and its staff and contractors, or to prevent fraud.
If the business changes. If we sell a business or assets, or Affilifest is acquired, we may need to disclose personal data to the buyer so the services you have contracted for can continue. You will be told if a new controller takes responsibility for your data.
Marketing, cookies and tracking
- Marketing. We use your details to tell you about our events and similar services. With your consent, we may also send marketing sponsored by our partners, based on information you have given us such as your job title and employer. We send marketing by email, and occasionally by post or phone. You can opt out at any time using the unsubscribe link in any email, or by emailing hello@affilifest.com.
- Cookies. We use cookies and similar technologies on our website. Essential cookies make the site work. With your consent, we also use analytics and advertising cookies and tags from Google Analytics, Meta and LinkedIn, to understand how the site is used and to show you relevant ads on other websites. You can choose which cookies to accept in our cookie banner and change your choice at any time through the cookie settings button at the bottom left of every page. The cookie banner lists each cookie, who provides it and how long it lasts.
- Email and event tracking. Our emails may contain small tracking pixels that tell us whether an email was opened and which links were clicked. Unsubscribing stops the emails, and your email settings can block the pixels. At our events we may track your participation through badge scanning and session attendance. On our website we track pages viewed and the length of your visit. This helps us see whether we are meeting your needs and how to improve.
- Opt-out signals. Where the law requires it, we treat the Global Privacy Control browser signal as an opt-out of targeted advertising. See Your rights for US state privacy rights.
Event app, surveys and automated decisions
Event app. If you use our event app, your profile (name, job title, company and any photo you add) is visible to other attendees so they can book meetings with you. You choose what to show, and you can edit or hide your profile at any time.
We want to understand what attendees and subscribers need. We may use your name and contact details to ask for your feedback or invite you to take part in our research, and you can say no at any time.
We do not make decisions about you that have legal or similarly significant effects based only on automated processing.
International transfers
Affilifest is based in the United Kingdom. Our events, and many of our service providers and sponsors, are in the United States. Your personal data may be processed in both countries and, for some providers, elsewhere.
When we transfer personal data out of the UK, we use a safeguard the law recognises, such as the UK-US Data Bridge, the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, depending on the provider. You can ask for a copy of the safeguards that apply by emailing hello@affilifest.com.
When we share your details with sponsors and exhibitors, they become responsible for that data. Our sponsor terms require them to use it only for their own direct business communications, not to pass it on, and to include an unsubscribe option in every marketing message.
How long we keep your data
We keep personal data only as long as we need it for the purpose we collected it for. These are our usual periods.
| Data |
How long we keep it |
|---|---|
|
Event registration and attendance records |
3 years after the event |
|
Marketing contact details |
Until you unsubscribe, or 24 months after your last interaction with us |
|
Suppression lists (to honour opt-outs) |
Kept so we do not contact you again |
|
Payment and invoice records |
Six years, as UK accounting law requires |
|
Website and email analytics |
2 months for website analytics |
|
Enquiries and correspondence |
3 years |
We may keep data for longer where the law requires it or to deal with a legal claim. When the period ends we delete or anonymise the data.
Protecting your data
We use technical and organisational measures to protect personal data from loss, misuse, unauthorised access, disclosure and destruction. These include written information security policies, access limited to the people who need it, multi-factor authentication on our core systems, and a procedure for handling personal data breaches.
Our employees, contractors and processors must keep personal data confidential and use it only to provide the services we ask for.
When we use service providers, we share only the data they need to do their job. Our hosting, database and CRM providers encrypt data at rest and in transit. Sponsors and exhibitors who receive delegate details are responsible for protecting them once they have them.
No internet transmission is completely secure, so we cannot guarantee absolute security.
Your rights
You have the right to:
-
Ask for a copy of your personal data.
-
Have inaccurate data corrected.
-
Ask us to delete your data, where we no longer need it or you withdraw consent.
-
Ask us to restrict how we use your data.
-
Object to our use of your data, and always to direct marketing.
-
Receive your data in a portable format, where we hold it on the basis of consent or contract.
-
Withdraw consent at any time. This does not affect what we did before you withdrew it.
Email hello@affilifest.com to use any of these rights. We may need to check your identity first. We reply within one month. If you are unhappy with our response, you can complain to the UK Information Commissioner's Office at ico.org.uk, or to your local regulator.
US state privacy rights. Depending on the state where you live, you may have the right to know what personal data we hold about you, to access, correct and delete it, to opt out of targeted advertising and of the sale or sharing of your personal data, and not to be treated differently for using these rights. We do not sell personal data for money. Sharing delegate details with sponsors, and using advertising cookies, may count as "sale" or "sharing" under some state laws. To opt out, use the "Your privacy choices" link in our website footer or email hello@affilifest.com. We treat the Global Privacy Control signal as an opt-out where required. If we decline a request, you can appeal by replying to our decision and we will respond within the period the law requires.
Children, other websites and changes to this policy
Children. Our website and events are for business professionals and are not aimed at anyone under 18. We do not knowingly collect personal data from children. If you think we have, email hello@affilifest.com and we will delete it.
Other websites. Our site may link to other websites, including payment providers and the sites of sponsors and exhibitors. We are not responsible for their privacy practices, so please read their policies.
Changes to this policy. We update this policy when our practices or the law change. The date at the top shows when it was last updated. If we make a material change, we will email registered attendees.
